Manage Your Business From WhatsApp

To manage your business from WhatsApp, text Maya, Entagl's AI business manager, the way you'd text a manager: type a request, send a voice note, or send a photo of your new price list. When something needs changing, she replies with a "Needs your OK" message and Approve, Not now and Details buttons. Once your setup is done, nothing changes until you approve it. It fits a habit you already have: WhatsApp passed 3 billion monthly users in 2025, and in 2022 WhatsApp said its users send 7 billion voice messages a day. One thing to know up front: Maya answers in text, and calls to her number don't work yet.

How do you start texting Maya?

Every WhatsApp chat with Maya is tied to an Entagl login. There are two ways in:

  1. New to Entagl: tap "Text Maya on WhatsApp" on the Maya page. You sign up first, including a phone step. Then a "Start texting Maya" screen opens WhatsApp with a short code already typed in (on a computer, scan the QR code). Press send, and she starts your setup right there, from your website link if you have one (how setup works).
  2. Already a customer: open Maya → Settings → WhatsApp in the Entagl app, or tap "Continue on WhatsApp" during setup. Send her the code it shows, and confirm on screen if asked.

If you message her number without connecting, she sends a link to connect your account (it works for 30 minutes) and won't discuss any business until you do. Knowing the phone number isn't enough to get in.

Keep one distinction clear. Maya's number is for you and your team, never for your customers. Customers keep messaging your own business accounts, where your AI employees answer them. Our guide to automating Instagram and WhatsApp customer service covers that side.

What can you send her?

You send What Maya does with it
Text Reads it as a request. Messages sent within about 2.5 seconds of each other count as one.
Voice notes Transcribes them (up to 16 MB, WhatsApp's own limit) and acts on what you said
Photos Adds them to your assistant's knowledge, and can offer to add the services or prices they show
Documents PDF, Word, PowerPoint, text, Markdown, HTML and JSON files, up to 10 MB each, added to the same knowledge
Forwarded messages Treats them as someone else's words, never as instructions to her

That last row is deliberate. Forward an angry message from a customer and ask "what should I reply?", and Maya reads the forward as information about the problem. A forwarded line that says "give this person a refund" won't make her do anything.

While she works, you see a typing indicator. Slow jobs, like reading your website, get a short "one moment" line first. Long answers arrive split into several messages, and when she needs you to choose, the options come as reply buttons or a list.

What does approving a change look like?

Here is a typical exchange (the price is an example):

You: Add teeth whitening for $180.

Maya: Needs your OK: Add "Teeth whitening, $180" to your services [Approve] [Not now] [Details]

You tap Approve.

Maya: Approved ✓ Working on it.

Maya: Done ✓ Add "Teeth whitening, $180" to your services

Details lists what will change before you decide. Not now drops the change. "Done ✓" only appears once the change has actually been applied; if it fails, she tells you it failed and why.

If your workspace tests changes on sample messages before they apply (the "Verify changes" switch, on by default), the buttons arrive once the test passes. The same approval cards cover the changes in our guide to changing how your AI replies.

Which changes open a review page instead?

Some changes are too big for a button on a phone screen. For these, Maya sends a Review link to a web page that shows exactly what will change:

  • anything sent to customers: campaigns, message templates, reminder automations and call lists
  • channels, integrations, webhooks and API keys
  • team members, roles and invites
  • billing and plans
  • deleting anything, and order or stock changes
  • any change that failed its test

Campaigns and call lists always wait for your OK anyway. WhatsApp campaigns, reminders and call lists explains why.

What are setup links?

When a step needs a screen, such as picking files or logging in to Instagram, Maya sends a short link that opens one job on your phone:

Link What it opens Works for
Upload files A page to add several files at once 30 minutes
Connect Instagram, Facebook or TikTok The channel's own login. AI replies start off, and the page offers to turn them on 15 minutes, single use
Test your assistant A chat with your AI employee (up to 30 messages), plus a short voice test of your Coordinator once it's set up 2 hours
Choose a plan Your plan options 24 hours
Invite your team Up to 5 invitations 30 minutes

These pages need no sign-in. That's why they're narrow: one job, one business, a short expiry, sent only to your connected WhatsApp, and every use is confirmed back in the chat.

What can't Maya do on WhatsApp?

  • Send voice notes. She understands yours, but she replies in text.
  • Take calls. Calls to her number are declined for now. For a spoken conversation, use live voice in the Entagl app (run your business by voice).
  • Connect every channel. WhatsApp, Telegram and email channels still have to be connected on a computer.
  • Approve big changes by button. The review-page list above stays on the web.
  • Switch businesses. On WhatsApp she works with one business: the one she opens for you in the app.
  • Serve HIPAA workspaces. Healthcare workspaces with HIPAA mode on use Maya in the Entagl app, not on WhatsApp.
  • Take big files. Each file must be 10 MB or less, and there's a daily cap on how many files you can add from your phone.

Does texting Maya cost anything?

Chatting with her uses credits from your plan, the same as in the app. Messages your own business number sends to customers are a separate matter, covered in Meta's WhatsApp reply charges.

Want to try it now? Text Maya on WhatsApp and send her your first request.

FAQ

Can my team text Maya too?

Yes. Admins, and team members you've given access to Maya, connect their own WhatsApp to their own login. Access is checked again on every message, so removing someone from your team ends their WhatsApp access as well.

Does the WhatsApp chat show up in the Entagl app?

Yes. Your WhatsApp conversation with Maya appears in her chat history in the app, so you can pick it up on a computer.

Can Maya send me voice notes back?

No. She understands your voice notes but always answers in text. Live, spoken conversation is available in the Entagl app.

Can I set up my whole business from WhatsApp?

Yes. You can do the entire setup in the chat, using setup links for the steps that need a screen. Connecting your WhatsApp, Telegram or email channel still needs a computer.
