How to Follow Up With Facebook Lead Ads in Minutes, Not Days

The fastest way to follow up with Facebook lead ads is to stop downloading them. Connect your Instant Forms to a system that receives each lead the second it is submitted, and send the first message automatically to everyone who ticked a consent box. Speed decides it: firms that tried to reach a lead within an hour were nearly 7 times as likely to qualify it as firms that waited an hour longer, and more than 60 times as likely as those that waited a day or more (Harvard Business Review, "The Short Life of Online Sales Leads").

This guide walks through the setup in the order you would actually build it, starting with how the lead leaves Meta.

Why do Facebook lead ad leads go cold so fast?

An Instant Form is low effort by design. Meta's default form type, "More volume", is built to make it easy to submit quickly on a mobile device. That is why the cost per lead looks good, and it is also why the person who submitted it has usually forgotten about you by dinner. They tapped a prefilled form between two other things on their phone. They did not plan the visit.

The original HBR audit shows how badly most businesses handle this. The researchers tested 2,241 U.S. companies with a web lead: 37% responded within an hour, 24% took more than 24 hours, and 23% never responded at all. Among those that did reply within 30 days, the average response time was 42 hours (Oldroyd, McElheran and Elkington, HBR, 2011). One reason they named: teams pulling leads from their systems once a day instead of continuously.

Our own data points the same way. In the Entagl Response Velocity Study, conversations that got a first reply within 60 seconds converted at 35.1%, against 12.2% when the first reply took 5 to 60 minutes. That study measured DM conversations on Instagram, WhatsApp, Messenger, Telegram and web chat, not form leads, so treat it as direction rather than a lead-ad benchmark.

Step 1: How do you get leads out of Meta the moment they arrive?

If someone on your team downloads a CSV from Ads Manager every morning, that is your biggest leak. Meta says so itself: its guidance on responding to leads recommends an integrated CRM or the Leads Center, because manually downloading leads "can take more time to follow up."

There is also a hard deadline. Meta keeps lead data available for download for only 90 days from the moment the form is submitted. A lead you never pulled is a lead you lose for good.

Your options, from slowest to fastest:

Method When the lead reaches you Main risk
Manual CSV download Whenever someone remembers Hours or days of delay; leads expire after 90 days
Email notification only Minutes, if someone is watching the inbox Nobody acts on it after hours
CRM or connector integration Seconds Lead sits in a CRM until a person calls
Integration plus automatic first touch Seconds, with a first message sent Needs consent set up correctly (Step 2)

Step 2: What consent should your Instant Form ask for?

This is the step most businesses skip, and it decides what you are allowed to do in Step 3.

Meta lets you add a custom disclaimer to an Instant Form, and inside it you can add one or more consent checkboxes, each marked required or optional. Two details from that page matter:

  • You cannot add a custom disclaimer to a form that is already running in an ad. You have to duplicate the form and add it to the copy.
  • You can add more than one checkbox, which is exactly what you want.

Use separate checkboxes for separate channels. One box for "Message me on WhatsApp about my request", another for "Call me about my request". A phone number on a form is not permission to message or call it.

Why separate? WhatsApp's own rules say businesses must get opt-in before messaging people, and local law still applies on top of that. Phone calls carry their own rules: in the US, the FCC ruled that AI-generated voices count as artificial voices under the TCPA, which brings in the consent requirements we covered in AI phone calls and the TCPA in 2026. A single combined "you may contact me" box is the weakest consent you can collect.

A few form-design tips that help the follow-up later:

  1. Keep the questions short, but ask the one that routes the lead. "Which service are you interested in?" or "When would you like to come in?" gives your first message something real to say.
  2. Consider Meta's "Higher intent" form type if lead quality is the problem. Meta describes it as focused on very intentional leads, such as booking a test drive.
  3. Run the ads when you can respond. Meta's own advice is to schedule lead ads during business hours if you need immediate follow-up. Automation removes most of that constraint, but it is still sound advice for anything that needs a human.

Step 3: What should happen in the first five minutes?

The goal is simple: the lead hears from you while they still remember filling in the form. On WhatsApp there is a rule to plan around. Outside WhatsApp's customer service window (for example, when the customer has never messaged you), a business can only send a pre-approved message template. So write and get approval for your first-touch template before the campaign goes live.

A good first message:

  • Uses their first name and the thing they asked about ("Hi Sara, thanks for asking about laser hair removal").
  • Asks one easy question that moves toward a booking ("Are weekday evenings or Saturdays better for a first consultation?").
  • Comes from the same business name they saw in the ad.

Once they reply, the conversation is open and you can talk normally. This is where an AI agent earns its keep: it answers the follow-up questions about price ranges, location and availability at 11pm on a Sunday, when nobody on your team is looking at a phone.

If they do not reply, do not leave it at one message. Our guide on following up with leads who stop replying covers how long to wait, what the second message should say, and when to stop.

Should you call Instant Form leads instead?

Sometimes, yes. High-value services (real estate, cosmetic treatments, home renovation) often close faster on a call. Two cautions:

  • Only call people who ticked the call checkbox. See Step 2.
  • WhatsApp calling has country limits. Meta does not offer business-initiated WhatsApp calls in the United States, Canada, Egypt, Vietnam or Nigeria. If your leads are mostly in those countries, plan on a WhatsApp message as the first touch.

How does Entagl handle Facebook lead ads?

Entagl connects to your Facebook Page and receives Instant Form submissions from your Facebook and Instagram lead ads as they come in. Here is what happens to each lead:

  • It lands in Contacts. Name, phone and email are saved, and every custom form answer is saved to the contact (existing values are not overwritten), so nobody retypes anything. If the person is already in your contacts, the lead is matched to them instead of creating a duplicate.
  • You get notified that a new lead was captured.
  • Optional: an automatic WhatsApp message. You pick an approved template and fill its variables from contact fields or form answers. It only goes to leads who ticked the WhatsApp consent checkbox you named in the settings.
  • Optional: an AI call over WhatsApp. You can queue a call through Entagl's AI voice agent, with a delay you choose and calling hours in your time zone. It requires a separate call checkbox (Entagl will not let you reuse the WhatsApp one), and it skips anyone marked do-not-call. Calls also need outbound calling switched on, an active call template, WhatsApp call permission and available credit, and numbers in the US, Canada, Egypt, Vietnam and Nigeria are blocked. The agent follows the call template you choose for these leads, so you decide how it opens.
  • No double contact. If the form is linked to an Entagl booking page and the lead has already booked through it, the automatic first touch is skipped, and a send that may have failed is held for review rather than retried blindly, so nobody gets the same message twice.

When the lead replies on WhatsApp (with AI replies on for that number), the same AI agent that answers your DMs picks up the conversation and works toward a booking. If you are also trying to make the ads themselves cheaper, our playbook on using AI to improve Meta ads without burning budget is the other half of this.

FAQ

How fast should I respond to a Facebook lead ad lead?

As fast as you can, and within the hour at the latest. HBR's analysis of 1.25 million leads found that firms contacting leads within an hour were nearly 7 times as likely to qualify them as firms that waited an hour longer. An automatic first message gets you to seconds.

Can I send WhatsApp messages to people who filled in my lead form?

Only with opt-in. WhatsApp requires businesses to get opt-in before messaging people, and unless they have messaged you first, your first message has to be an approved template. The cleanest approach is a dedicated WhatsApp consent checkbox in your Instant Form's custom disclaimer.

Is a phone number on a lead form enough consent to call?

Do not rely on it. Calling rules depend on the country, and in the US AI voice calls fall under the TCPA's artificial-voice rules. Add a separate, specific checkbox for calls and keep a record of who ticked it.

How long does Meta keep my lead ad data?

Meta makes leads available for download for 90 days after the form is submitted. After that you cannot download them, so connect a CRM or integration rather than relying on manual exports.

Do Instagram lead ads work the same way?

Yes. Meta's lead ads with Instant Forms can run on Instagram, and in Entagl those submissions arrive through the same Facebook Page connection, so the same consent and follow-up setup applies.

What should you change on your form today?

Open Ads Manager, find the Instant Form behind your best-spending lead ad, and check whether it has a WhatsApp consent checkbox. If it doesn't, duplicate the form, add one plus a separate call checkbox, and swap the copy into the ad. It takes about ten minutes, and it decides what you are allowed to send tomorrow.
