Customer intake can use three different experiences: questions in a conversation, a structured form inside website chat, or a hosted form opened from a link. The right choice depends on the information required, the customer's channel, and what must happen after submission. A form is useful when its answers lead to the next business action.

When should the AI ask questions in chat?

Conversation works well when a customer needs help understanding the question. A moving company may need the property type, date, and access details. A customer may answer several questions together, correct an earlier answer, or ask why a detail matters.

Keep the collection focused on what the business needs for this request. Define the order, required details, and conditional questions. An inquiry about one service should not force the customer through unrelated questions for another.

When is a structured form better?

A form makes the shape of the request visible. It can be useful when the customer prefers to complete several fields at once or when the business needs specific choices and required answers. A form can also make validation errors easier to explain.

A website visitor can complete an embedded form inside Entagl's chat widget. On other supported messaging paths, the business can send a hosted form link that opens in the customer's browser. The hosted form belongs to an existing conversation; it is not a general standalone form service for anonymous traffic.

What should happen after a submission?

The submission should be connected to the right request. The operator needs to see whether the form was completed, what the customer provided, and which next action is expected. Selected answers may also belong on the customer record.

How should you handle sensitive file questions?

A field asking for a photo creates a data-handling decision. Determine whether a regular attachment, a form upload, or a dedicated private upload request is appropriate. Do not assume every upload path has the same retention or AI-analysis controls.

How do you evaluate the owner experience?

Ask a staff member to create or edit an intake without help from the person who built it. They should understand the questions, which answers are required, what is saved, and what happens on completion. Does every answer automatically become a CRM field?

No. Configure which answers should map to the customer record. The complete submission and the mapped contact fields serve related but different purposes.

Does submitting intake confirm a booking?

Only a successful booking action can establish the relevant request or appointment state. A completed intake supplies information; the configured next step decides how the business proceeds.
