Reminders

Never forget a follow-up — set reminders on appointments, contacts, and conversations.

All your follow-ups in one place — overdue first, so nothing slips.

Overview

Reminders help you win back revenue that slips away between conversations. When a customer says "something came up, call me next week", you set a reminder right on that conversation, snooze it if plans change, and get notified the moment it's due — in the app, on your phone, and optionally by WhatsApp, SMS, or email. Every reminder links straight back to the appointment, contact, or conversation it's about, so following up takes one click.

Features

Set reminders where you work

Add a reminder from an appointment in the Calendar, from a contact's page, or from any conversation in the Inbox (right-click a conversation on web, long-press on mobile). Add as many reminders as you need on the same item — each has its own note and due time.

A Reminders tab in your notifications

The notification center now has two tabs: Notifications and Reminders. The Reminders tab shows everything that's due or coming up, with overdue items first — and the count badge tells you how many need attention right now.

Snooze in one click

Not the right moment? Snooze a reminder by an hour, a few hours, until tomorrow morning, a couple of days, a week — or pick an exact date and time. Snoozed reminders come back and notify you again when they're due.

Assign follow-ups to one person or the whole team

Tick as many people as you need — or hit Everyone to pick the whole team at once. Everyone you choose is notified straight away, and the reminder shows up in their lists and counts. It stays one shared reminder: whoever gets to it first marks it done for everybody, so nobody chases the same customer twice.

WhatsApp, SMS, or email delivery

Want the nudge outside the app? Choose recipients from your notification contacts and the reminder is also sent by WhatsApp (with automatic SMS backup if WhatsApp can't deliver it) or email — with a message you can customize.

See reminders on your calendar

Your reminders appear on the calendar next to your bookings, as violet pills at the time they are due (red when overdue). Click one to snooze it, mark it done, or jump to the booking, contact or chat it belongs to. Use the Show button at the top to choose whether you see bookings, reminders, or both.

One page for every reminder

The Reminders page lists everything — filter by status (open, overdue, closed), by what it's attached to, by who it's assigned to, or search your notes. Edit, snooze, close, or jump to the source item from anywhere in the list.

History on the contact

Every reminder you set, snooze, or close shows up in the contact's Activity timeline — including reminders created from that contact's appointments and conversations. The whole team sees the follow-up story at a glance.

Ask your assistant to do it

Tell the built-in assistant (text or voice) things like "remind me to call Sarah next Tuesday at 10" — it finds the right contact or booking and sets the reminder for you.

Common tasks

Set a follow-up from a conversation

About 1 min
  1. In the Inbox, right-click the conversation (or open its actions menu) and choose "Add reminder".
  2. Write a short note (e.g. "Customer asked to be called next week") and pick the date and time.
  3. Save. When it's due you'll be notified, and clicking the reminder takes you straight back to the conversation.

Snooze or close a reminder

About 1 min
  1. Open the Reminders tab in the notification center (bell icon) or the Reminders page.
  2. Use Snooze to push it to later (pick a quick option or an exact time), or Close when the follow-up is done.

Get reminders on WhatsApp or email

About 2 min
  1. When creating a reminder, open "Also send via WhatsApp/SMS/Email".
  2. Pick who should receive it from your notification recipients (managed in Settings → Preferences), and customize the message if you like.
  3. Save. When the reminder fires, it's delivered to those recipients too — if WhatsApp can't deliver it, we automatically send an SMS instead.

Tips

When a customer says "call me later", set the reminder before you close the chat — it takes five seconds and it's how follow-ups turn into bookings.
Reminders are personal: you see the ones you created or that are assigned to you. Assign a reminder to share it with a teammate.
Overdue reminders stay visible until you close or snooze them — nothing disappears just because the time passed.
